Explained on 26 October 2026. This is an educational answer drawn from the dated article below; examples are hypothetical unless a specific source observation is identified.

How it works

Emails, messages, research delivery and related records can document different parts of the relationship. Their relevance depends on the rules and the facts. Simply replacing an audio file with an empty folder fails to distinguish a change in recording format from a complete removal of documentation.

A simple example

In an illustrative work file, a dated email records a question, a research document records the response and a delivery record shows when it was sent. These documents answer different evidential questions; none automatically proves that every remaining duty has been met.

What to check

  • Map each continuing requirement to the relevant record.
  • Keep timestamps and the original communication context.
  • Do not infer a blanket exemption from one format change.
